Clearing out your Mailbox

When you get the notification in your WebMail that your Mailbox size limit has been exceeded, it is usually because you have received one or more large attachments. As a result, you won't be able to receive any more email until your Mailbox has room again, which means deleting some data.

  1. Access your WebMail interface. If you do not know how to access your WebMail interface, please follow the instructions here, or simply click here and logon using your email address and password.
  2. In your WebMail interface, go to your Inbox. You should see all of your emails. On the left hand side is a list (My Today Page, Inbox, Deleted Items, Drafts, Junk E-mail, Sent Items), and below this is a link 'By Type'. Click this to expand the menu. If you click 'With Attachments' it will show you all the emails you have that contain attachments.
  3. Be sure you have saved any attachments that you would like to keep before continuing. To do this, click the e-mail with an attachment you'd like to look at. When it comes up on the right hand side you should see two tabs below the message title, date and recipient/sender of the message. Click on the right-hand side tab 'Attachments' and save individual attachments by clicking on them, or 'Download All Attachments'.
  4. Once you've done this, select one or more emails you'd wish to delete by ticking their checkboxes on the left and using the 'Delete' dropdown menu from the top, and clicking 'Delete'. Alternatively 'Delete All Messages in Folder' if you're sure you no longer need them.
  5. If you have made a mistake, go to 'Deleted Items' from the original list and, selecting which emails you'd wish to keep by using their checkboxes, click 'Actions' and 'Move' to return them to your choice of folder.
  6. If you are sure you wish to finalise deleting the emails, go to the Deleted Items folder and click 'Delete' and 'Delete All Messages In Folder'. This should clear out some space for you to receive pending emails.
  7. When you have finished, you can go to the My Today page link, where you will see the Disk Space Limits information for your mailbox, showing how much space you are currently using from your allocation.
